We’ve all been there. Sitting in the middle of a keynote and a YouTube video doesn’t play; the twitter stream floods with #WiFiFail; attendees can’t connect to the mobile app you created… People. Are. Pissed. Meanwhile you’re freaking out because the venue assured you there would be sufficient WiFi coverage for up to X number of attendees.

5 Tips To Avoid The #WiFiFail At Your Event

1. Include your network vendor in all pre-show meetings. They’ll be able to identify potential issues early on.

2. Add additional coverage in high-traffic areas like expo halls, keynotes and session rooms.

3. Make it simple for attendees to connect to the WiFi. Change the name to reflect your event (recognition). If you choose to create a password, keep it simple.

4. Educate attendees how to connect to the WiFi. For some of us it might be obvious that you just have to go into settings. Others need step-by-step instructions. Either way, you’ll make everyone’s experience more enjoyable.

5. Ask your provider for a final usage report. This will give you insight to planning for next year’s event like the number of connected users, how much bandwidth was used and average speeds.

The most important thing to remember, is no matter how much you prepare a lot of times it will come down to selecting the right vendor. Do your research to find a network provider within your budget, but don’t forget important things like the level of service provided (will they attend planning meetings or are you on your own?).
